The SharePoint Migration Support and Coordination Specialist will support the planning, coordination, execution, tracking, and post-migration stabilisation of a migration from an on-premises SharePoint 2013 environment to SharePoint Online. The role will work closely with technical teams, business stakeholders, information owners, and end users to ensure that migration activities are well organised, risks are visible, content is prepared, and migration outcomes are validated.

 

The position is intended to provide hands-on coordination and operational support rather than full technical ownership of the migration platform. The successful candidate should be comfortable working with ShareGate, SharePoint 2013, SharePoint Online, Microsoft 365 collaboration services, and structured migration processes.

 

Scope:

 

Migration Planning and Coordination

  • Coordinate with business owners, site owners, application owners, technical teams, and support teams to prepare each site or workload for migration.
  • Ensure migration activities are aligned with agreed governance, security, information management, and Microsoft 365 service standards.

 

ShareGate Migration Support

  • Use ShareGate to support inventory, discovery, pre-migration assessment, copy configuration, test migrations, incremental migrations, and final migration activities.
  • Identify and document migration issues such as unsupported features, broken permissions, large libraries, long file paths, invalid characters, customisations, workflows, orphaned users, and content quality concerns.
  • Prepare migration reports and dashboards using ShareGate outputs and other project reporting inputs.
  • Support the configuration of migration jobs in line with agreed rulesets, mapping decisions, naming conventions, and target-site architecture.
  • Perform or support post-migration checks, including content validation, permissions checks, metadata verification, and issue follow-up.

 

Stakeholder Engagement and Communications

  • Act as a coordination point between business representatives, site owners, project management, migration engineers, service desk, security, and operations teams.
  • Support communication with site owners and users regarding migration schedules, preparation tasks, freeze periods, validation steps, and known limitations.
  • Help collect business input on site usage, ownership, retention needs, obsolete content, permissions, and target-site expectations.
  • Track stakeholder feedback and ensure questions, risks, and blockers are routed to the appropriate owner for resolution.

 

Post-Migration Support and Hypercare

  • Support user validation after migration and coordinate the resolution of defects, access issues, missing content, metadata problems, and other post-migration incidents.
  • Monitor migration outcomes during hypercare and help ensure that residual actions are tracked through to closure.

 

Skills:

  • Experience supporting or coordinating SharePoint migration projects, ideally from SharePoint 2013 or another on-premises SharePoint version to SharePoint Online.
  • Practical knowledge of ShareGate for inventory, assessment, migration execution, reporting, and troubleshooting.
  • Good understanding of SharePoint site collections, sites, lists, libraries, permissions, metadata, content types, views, web parts, and common legacy customisations.
  • Familiarity with Microsoft 365 collaboration services, especially SharePoint Online, Teams-connected sites, OneDrive, Microsoft Entra ID groups, and modern site architecture.
  • Strong coordination skills, with the ability to manage multiple migration waves, stakeholders, actions, issues, and deadlines.
  • Ability to interpret migration logs, identify recurring issues, and escalate technical problems with clear supporting evidence.
  • Strong communication skills and the ability to work with both technical teams and non-technical business stakeholders.
  • Awareness of information governance, access control, data protection, records management, and security considerations in a Microsoft 365 environment.
  • Fluent English
